About the Role
We are seeking a highly organized and detail-oriented Administrative Support Specialist to provide day-to-day assistance to leaders and teams within a fast-paced, innovative work environment. This role plays a key part in ensuring smooth operations, effective communication, and efficient coordination across departments.

Key Responsibilities

Prepare and format letters, memos, reports, and presentation materials using appropriate software

Draft and manage professional correspondence as required

Screen phone calls and address inquiries or requests on behalf of assigned staff, when authorized

Schedule and coordinate meetings, video conferences, and conference calls (on-site and off-site)

Maintain and manage electronic calendars for appointments and meetings

Receive, organize, and distribute daily mail and respond to issues as appropriate

Arrange business travel through the corporate travel system

Coordinate special events such as VIP visits, award ceremonies, conferences, or office moves

Conduct research, run reports, perform data analysis, and ensure data accuracy

Assist in creating departmental procedures, documentation, and process improvements

Support special projects and additional administrative tasks as assigned
